Frequently asked questions
Everything carriers usually ask before the first call. If yours is not here, phone us on 224 278 9494.
Onboarding
How quickly can I get started?
Onboarding takes about fifteen to twenty minutes, and most carriers see their first load offers within the first business hour.
Do I need my own MC authority?
Yes — an active MC authority, active insurance and current operating documents. We work on your behalf, under your MC.
What documents are required?
Your MC and DOT information, a W-9, a certificate of insurance, and an NOA or voided check.
Do you work with new MC authorities?
Yes. We know which brokers work with newer carriers and how to build that history from the first load.
Do I get a dedicated dispatcher?
Yes — one dispatcher who knows your lanes and preferences, with a capped book so you get real attention.
Dispatch
How do you find loads?
DAT, Truckstop, broker networks and direct freight relationships, worked continuously rather than checked occasionally.
Do you negotiate rates?
Yes, directly with brokers, against what the lane is actually paying rather than what is first offered.
What equipment do you work with?
Dry van, reefer, flatbed, step deck, Conestoga, RGN and hotshot.
Do you work with oversize loads?
Yes, including permit coordination and route planning.
What hours are you available?
Dispatch is staffed 7am–5pm Central, seven days a week. Outside those hours we provide after-hours support for breakdowns and anything urgent on the road.
How can Smart Haul improve profitability?
Better rates, better lanes, less deadhead and less downtime — plus accessorials like detention actually being claimed.
Accounting
What accounting services do you offer?
Invoicing, IFTA filing, payroll support, bookkeeping and trucking-specific financial support.
Do you help with factoring paperwork?
Yes — factoring documents, invoice submission and payment follow-up.
How does payment for booked loads work?
Payments go directly to you as the carrier. We handle the invoicing and paperwork; timing depends on your factoring company or payment method.
When are dispatch invoices issued?
Dispatch invoices go out at the start of each week, Monday into Tuesday, covering the week just finished.
Safety & compliance
What safety services do you provide?
DOT compliance, DQ files, drug and alcohol programs, permits, DataQ challenges, safety monitoring and audit preparation.
Can you help improve CSA scores?
Yes. We identify what is driving the score, dispute what is recorded incorrectly, and keep you compliant so it improves over time.
Breakdowns
What breakdowns do you help with?
Truck and trailer breakdowns, roadside emergencies, tire issues, towing coordination and communication with the repair shop.
Is it available after hours?
Yes. Breakdowns rarely happen at a convenient time, so this is covered outside normal dispatch hours.
Do you help prevent overcharging?
Yes — we compare pricing and deal with the shop directly, because a stranded driver is the easiest person to overcharge.
Pricing
How much do Smart Haul services cost?
Pricing depends on your equipment type, fleet size, operational needs and which services you use. We build a package per carrier rather than applying one rate to everyone — contact us for a consultation and a custom quote.
How much is the Smart Haul software?
Three plans, each one flat monthly price for your whole company with unlimited users: Smart Haul Portal $39, Smart Haul Fleet $89 and Smart Haul Pro $149 a month, up to 25 trucks. See the plans side by side.
